Read our terms & conditions below to learn more about your rights and responsibilities.
1. Quotations – Quotations are provided based on the most direct route, determined at the company’s discretion unless specified by the hirer. Any specified route will be clearly outlined in the confirmation. All quotations are contingent upon the company having an appropriate vehicle available when the hirer accepts the quote. Additional charges like admission or event parking are not included unless stated otherwise. Quotations remain valid for 7 days and are subject to availability.
2. Applications – These conditions apply whether a contract has been made verbally or in writing. The hirer acts on behalf of all the passengers travelling on the vehicle/s. The hirer is responsible for the actions and decisions of all passengers.
3. Bookings – All bookings require confirmation in writing via email from the hirer.
4. Use of Vehicle – The hirer should not assume the vehicle’s availability between outward and return journeys, nor expect it to remain at the destination for their use unless explicitly agreed upon in advance and confirmed in writing by the company.
5. Route & Time Variation – The company retains the right to impose extra charges for mileage or time beyond what was initially agreed upon. Departure times will adhere to the schedule agreed upon by the hirer, who is responsible for ensuring all passengers are accounted for at those times.
6. CHANGES TO ITINERARY – Occasionally, adjustments may be necessary to the provided itinerary. Whenever feasible, we will notify you of these changes in advance.
7. Drivers Hours – The driver’s operating hours are governed by legal regulations, and the hirer acknowledges the responsibility of adhering to the agreed-upon hours and times set by the company. Neither the hirer nor any passengers should cause delays or interruptions to the journey that may endanger the driver’s compliance with regulations concerning driving hours and duty time.
8. Seating Capacity – The company will indicate the legal seating capacity of the vehicle. The hirer must not exceed this capacity when loading the vehicle.
9. Conveyance of Animals – No animals (except guide or hearing dogs notified to the company in advance) may be carried without prior written agreement from the company.
10. Wheelchairs – Only foldable wheelchairs can be transported in the company’s vehicles.
11. Confirmation – The company’s written confirmation is the sole basis for accepting a hiring or making any subsequent alterations to its terms.
12. Deposits– In order to hold your booking, a 25 % non-refundable deposit must be paid upon booking
13. Payment – Payment in full is due 14 working days prior to the travel date unless otherwise arranged with the company. This payment is non-refundable, except in cases where the company, due to uncontrollable circumstances, must cancel the booking.
14. Cancellation by Hirer – Cancellation or changes must be made at least 14 days prior to travel. For coach/minibus & MPV hire and tour services, the following charges apply:
- If cancelled at least 14 days before travel, a 25% deposit will be charged.
- Cancellation within 14 days incurs a 50% charge of the full-service price.
- Cancellation within 7 days incurs a 75% charge of the full-service price.
- Cancellations within 2 days prior result in the full booking amount being charged.
- In the event of a no-show, where the customer doesn’t appear for pick-up, the full booking amount will be charged.
15. Cancellation by the Company – In circumstances such as emergencies, riots, civil commotions, strikes, lockouts, labour stoppages, or events beyond the company’s control (including adverse weather and road conditions), or if the hirer unilaterally varies agreed conditions, the company reserves the right to cancel the contract, return all funds paid, and absolve itself of any further liability.
16. Vehicle to be provided – Although we strive to offer executive vehicles for every hire, there may be occasions when such vehicles are unavailable. In such cases, the company retains the right to substitute alternative vehicles, which may include those from other operators, for all or part of the hiring.
17. Breakdowns and delays :
- The company provides journey time estimates in good faith. However, due to breakdowns, traffic congestion, or other events beyond reasonable control, journeys may exceed predicted durations, and the company will not be liable for any resulting losses incurred by the hirer.
- If the driver is unable to reach a scheduled job due to unexpected traffic issues, we will endeavour to transfer the job to one of our partner companies near the pickup location. Please note that in such cases, responsibility for job completion shifts to the partner company, and any further complaints should be directed to them.
- The company strives to ensure punctual arrival and departure of vehicles. However, it will not be held responsible for delays (and any consequent losses) beyond its control. Despite efforts to offer alternative solutions, if the client declines, the company cannot be held liable for any resulting losses.
18. Waiting time and stop-on-the-way :
- If the passengers are late for pick-up additional charges will apply as per terms.
- If the driver has to interrupt the journey and wait for the passengers, charges will apply as per terms.
19. Damages to the vehicle :
The hirer is responsible for any damage incurred to the vehicle during the hire period. The company retains the right to levy charges against the hirer for any such damages. Additionally, the company may impose a cleaning fee if the vehicle is excessively soiled beyond reasonable use by the hirer.
20. Passenger’s Property :
- All vehicles hired by the company are subject to luggage carrying restrictions for statutory safety compliance. The hirer acknowledges that the driver has sole discretion in determining the carriage of passengers’ belongings.
- The company assumes responsibility for the hirer’s and their passengers’ personal property, ensuring all reasonable precautions are taken to prevent loss or damage. The hirer should inform the company or driver if items of significant value are to be transported on the vehicle. It remains the hirer’s duty to minimize the risk of loss when property is left unattended.
- We do not accept liability for any damage to or loss of passengers’ property left in the vehicle.
21. Conduct of Passengers :
- On-board staff maintain vehicle safety and have the authority to remove any passenger whose behavior jeopardizes safety. The hirer is liable for any damages or excessive cleaning costs resulting from their passengers’ actions during the hire period, as determined by the company. The company reserves the right to recover these costs via the hirer’s credit or debit card.
- Passengers are prohibited from consuming or carrying alcohol or traveling under its influence in AJZ Travel vehicles. If intoxicated passengers cause any harm or discomfort, charges will apply according to the damages incurred.
- For hires to sporting events, the hirer must adhere to legal alcohol regulations outlined in the Sporting Events (Control of Alcohol) Act 1985 and the entry conditions set by the Race Course Association Ltd. The hirer must provide valid credit or debit card details prior to the journey as a security measure in case of any losses incurred by the company during the trip.
22. Complaints :
If a complaint arises, the hirer should first seek resolution by requesting assistance from on-board staff or contacting the company directly. If this does not resolve the issue, complaints can be submitted via email to contact@AJZtravel.com
23. Notices – No bill, poster or notice is to be displayed on any vehicle without the consent of the company.
24. Refreshments – Only food & beverages provided by the company may be consumed on the vehicle without prior consent from the company.
25. Surcharges – Providing there are 30 days prior to the departure date, the company reserves the right to pass on increases in the cost of fuel, taxes imposed by the Governments of the UK and of other countries to be visited during the journey, road tolls, and foreign currency.
